What are the room capacities and available layouts?
Room capacities vary based on the space. When you submit your renter inquiry form, you can request your preferred setup (such as classroom, pods, or U‑shape). We will recommend the most suitable space based on your attendee count and layout needs.

Yes. All GTC facilities comply with federal and state accessibility regulations. Both campuses feature ADA parking, accessible restrooms, elevators, and mostly flat terrain.
How far in advance should I request a rental?
Rental requests must be submitted no sooner than one (1) month and no more than three (3) months in advance of the event date. This timeframe ensures appropriate planning and coordination with the academic semester schedule.

Rental requests begin with an inquiry submitted through the Facility Rentals page. Once received, the Campus Events team will follow up with availability, pricing, and next steps.

How do I pay for my rental?
All invoices are issued through PayPal, and PayPal payment is preferred. Renters who wish to pay by check or ACH must coordinate with the Campus Events team in advance. Payment timelines, deposits, refunds, and late fees are outlined in the rental contract.

All décor must be free‑standing and may not be taped, pasted, nailed, or affixed to walls, floors, ceilings, or furniture.
Technology, Equipment & IT
What technology is included with my rental?
All standard technology located within the reserved space is included with your rental. Available equipment varies by room, as some spaces offer more advanced audiovisual capabilities than others. At a minimum, most classrooms, meeting spaces, and banquet facilities include:

- Built‑in speakers and sound system
Renters are responsible for bringing any necessary adapters (for example, USB‑C or Apple adapters).
Can I bring my own equipment?
Yes — renters may freely bring basic equipment such as laptops, presentation clickers, or small personal speakers. However, any device that connects into GTC’s network, AV infrastructure, or power systems must be approved in advance by Gwinnett Technical College IT.
This includes items such as:
- external routers or access points
- servers
- network switches
- professional AV equipment that needs to interface with in‑room systems
This review ensures compatibility and prevents damage to campus equipment.
Advertising & Branding
How can I advertise my event?
External organizations may reference Gwinnett Technical College as the event location only (e.g., “Event held at Gwinnett Technical College”). The college does not sponsor, endorse, or co‑host external events.
Can I use the GTC logo, name, or campus images in my marketing?
No. Renters may not use the Gwinnett Technical College logo, branding, or images of campus buildings or facilities in advertising, promotional materials, or on websites unless explicit written permission is granted by the college in advance.
Safety, Security & Conduct
Are minors allowed at events?
Yes. Minors are permitted at external events only when supervised at all times by responsible adults provided by the renting organization. Gwinnett Technical College does not provide supervision or childcare for minors and is not responsible for their care or oversight during external events.
Will security be required?
Security is not automatically required for all external rentals. However, depending on the size, nature, or scope of an event, security needs may be discussed during the planning process. If security is deemed necessary, the renting organization should plan to provide its own security, as campus police or officers are not available.
Who staffs the event?
For external rentals, Gwinnett Technical College generally does not staff or manage the event. The college provides facilities support and approved AV/technology support as needed, but event coordination, guest management, registration, supervision, and on‑site staffing are the responsibility of the renting organization.
What behavior is expected during events?
All guests must comply with Gwinnett Technical College policies, procedures, and directions from campus staff. Failure to follow college rules or maintain appropriate conduct may result in the event being interrupted or ended early.
Clean‑Up & Damages
Who is responsible for clean‑up?
Renters are responsible for placing all trash, food waste, and disposable items into the room’s trash cans so Facilities can remove them after the event. They must also take all belongings they brought in (such as tablecloths, décor, signage, easels, etc.) with them, as anything left behind will be discarded. GTC Facilities handles standard post‑event cleaning such as wiping surfaces, vacuuming, and mopping.
What if damage occurs?
The renter is financially responsible for any damages to facilities, furniture, or equipment.
